The Opportunity:

  • Be the gate keeper of our Ottawa office operations, managing multiple priorities with a positive and helpful demeanor
  • Integrated management and support of all office/facility service vendors
  • Support local employee onboarding and departure experience, or other aspects of the employee Lifecycle in collaboration with the Human Resources team
  • Manage local office budget, expenses, procurement, office supplies and food programs, so as to ensure sufficient administrative support for business needs as well as reasonable operation costs
  • Provide administrative support to senior team members including: client liaison, organization of meetings, business travel booking, and support of set-up for development and production of projects.
  • Lead the local Joint Health & Safety Committee and all Health & Safety efforts, including monthly safety inspections and regular meetings
    Be our resident expert on all thing’s operations, and expertly assist the team with questions related to the office
    Partner with cross functional teams to provide a great workplace and employee experience
  • Collect feedback regularly from business stakeholders and local teams and take actions accordingly
  • Facilitate onsite support for various office projects (e.g., office buildout and office moves)
  • Manage and support regional/local events, meetings, off-sites, team building and other office activities
  • Other duties and assignments as required

What You’ll Do:

  • 3-5 years relevant experience in administrative and workplace service; experience in the tech industry and extensive workplace management is a plus;
  • You’re calm, organized, and responsive – you take pride in your ability to enable and “get things done” consistently with an emphasis on quality execution
  • You have a knack for building and cultivating relationships across all levels of the organization, and are an accessible and friendly bridge between our teams
  • You’re a quick learner and you can figure out new systems or programs on the fly and love finding ways to make process more efficient
  • Demonstrates global vision and cross-industry knowledge, with insight into administration challenges and pain points in different business lines with ability to provide effective and proficient administration solutions
  • Strong service awareness, sense of responsibility and team spirit, willing to solve problems with efficiency
  • Excellent communication, organizational, interpersonal and leadership skills
  • **This role is not remote, and individual will be required to work in office full time**
