As a Senior Payroll Specialist/Manager at Arteris, you have expertise managing the end-to-end payroll process with multiple states and have a high level of understanding internal control concepts. You are a great communicator that can build strong working relationships with external vendors and internal teams. You are highly analytical, accurate, detail-oriented and not afraid to ask questions. You are able to think strategically and act operationally.
Key Responsibilities:
- Manage the US payroll to ensure that it is processed accurately, timely, and in accordance with municipal, state, and federal rules and regulations
- Process semi-monthly US payroll of over one hundred employees in compliance with company standards
- Processing of Stock Releases (RSU, NSO, and ISOs) as required
- Reconciles payrolls prior to transmission and validate confirmed reports
- Handle all aspects of payroll related tasks such as payroll garnishments, PTO, off-cycle payroll runs, benefit (401k, HSA, etc.) program reconciliation
- Oversees maintenance of payroll records and files including but not limited to timecards, sick time and vacation and other accrued leave
- Partner with and manage the third-party payroll provider to provide strategic direction on business needs and issues related to payroll; streamline processes and ensure operating efficiency, accuracy and compliance
- Act as a subject matter expert and stay current on payroll regulations, benefits changes, and labor laws impacting the payroll process, and stay compliant for all payroll tax jurisdiction
- Work closely with finance team on implementing and performing SOX compliant controls relevant to the payroll process
- Maintain and update payroll policies and procedure flows to document any processes changes
- Respond and manage various audit and tax agency queries and requests
- Observes the speed, accuracy, and automation of current payroll processes to ensure cost effective payroll processing. recommend new or revised procedures for improving the overall efficiency of the payroll department
- Ensure the timely completion of all payroll tax reporting requirements (quarterly and annually)
- Checks all wage and salary data for errors or inconsistencies and highlight areas for improvement. Calculating annual bonuses and payroll while maintaining the highest confidentiality
- In-depth and current knowledge of multi-state payroll and taxes including tax adjustments and calculations. Understand how taxes apply to RSU’s, ESPP, NQSO, and ISO
- Serve as trusted partner to the organization to increase awareness, educate, and drive processes that reduce compliance risk
- Respond to internal payroll questions, assist with the review of equity, and special compensation transactions as needed, and handle ad-hoc payroll requests
Experience Requirements / Qualifications:
- Proven experience of owning a multiple state US payroll operations and compliance cycle from start to finish in a fast paced, high growth organization
- Graduate degree and/or applicable professional qualification in payroll
- 7+ years of multi-state US payroll experience
- Extensive knowledge of the payroll tools and function including preparation, balancing, internal control and payroll taxes
- Strong understanding of accounting
- Strong analytical skills and forward thinking
- Experience of adopting a strategic view of payroll with aim to enhance the employee experience
- Constructive, positive, and collaborative attitude also when meeting challenges under time pressure
- Collaborator mentality with ability to work independently while also supporting team’s goals and members
- Proven ability to partner with cross-functional teams, including legal, HR, tax, accounting and finance
- Excellent communication skills (verbal and written) with the ability to challenge & collaborate
- Advanced user of Microsoft Excel
- Kronos Payroll (UKG Ready) experience preferred
- Experience at a global company preferred
- Experience working with a start-up environment a plus
Estimated Salary Compensation:
- $90,000 to $150,000 annually
