Working as part of a growing People Team supporting colleagues across the business, you will be responsible for the smooth running of our collaboration centre in Cambridge and the employee experience across all of our Workspaces. We are committed to hybrid working at Agile Analog and our dispersed teams have the option to work remotely from almost anywhere in the UK which requires a level of ongoing support. This role is across 5 days and is based at our new beautiful, state-of-the-art workspace in Cambridge, with the bonus of onsite parking (unusual to find in Cambridge!). This is a new on-site role at Agile Analog which offers the opportunity to work in a scale-up environment where you can truly make your mark and set the foundations for our ongoing success.

Hours are flexible across 5 days and we are open to discussing start-time options. There is a requirement for flexibility and availability around pre-planned company events, and emergency on-site access.

Requirements

What you’ll be doing

Health and Safety

  • Leading and coordinating the management of Health and Safety across our workspaces.
    • Updating and issuing training
    • Working with our Health and Safety Partners
    • Completing risk assessments and audits
    • Reporting incidents
    • Support the health and safety requirements of homeworkers

Travel

  • Work with agents and our self-service platform and respond to the travel requirements of our teams

Suppliers

  • Liaising with, managing and reviewing our contracts with maintenance and service providers

Hybrid workforce

  • Use our suite of communication tools for hybrid working to deliver internal communications
  • Booking remote offices on an ad-hoc basis

Events

  • Co-ordinate company onsite events across the year (approx. 3 x 3 day events in and around Cambridge)
    • Working with our external events co-ordinator, People team, and travel suppliers to ensure the end-to-end smooth running of events
  • Work with the Sales and Marketing team on providing external event supplies and company merchandise

Visitors

  • Co-ordinate visitors with Radio House team, and team requests

Telecomms

  • Support the set-up and rollout of a new phone system

Mail and onsite administration

  • Be fully up to date on GDPR compliance and distribution and filing of our mail and all deliveries

Workspace Maintenance and Security

  • Provide secure site access for employees and visitors
  • Be the direct contact for our maintenance suppliers, Landlord, Site Managers, out-of-hours emergency support and AV equipment support service team

Employee experience

  • Responsible for the workspace look and feel, and ensuring staff are equipped with necessary equipment/tools to fulfil duties
  • Work with the People and Marketing team on our Annual Events Calendar
    • Support us in celebrating success.
  • Support requirement for effective on-site meetings
    • Booking and setting up meeting rooms
  • Working closely with the People team on both onsite and remote onboarding and offboarding of team members

What we think you need

  • Previous office management experience
  • High levels of personal organisation and the ability to organise others
  • Effective in prioritisation, managing multiple tasks at the same time and working against tight deadlines
  • Great attention to detail and commitment to delivering a high standard of service
  • Ability in providing structure and process to day-to-day activities
  • Positive, motivated with an initiative to work with autonomy, solve problems and find ways to improve internal systems and processes
  • Strong IT skills and knowledge of Google Suite (Calendar, Gmail, GoogleDocs), video conferencing tools, and self-service platform providers
  • Strong interpersonal and communication skills – able to build rapport and good relationships with a diverse range of colleagues
